CURRENT SITUATION

Located along the scenic river in Hoi An, Namia River Retreat is a luxury wellness retreat focused on delivering holistic guest experiences. The business serves a diverse customer base, ranging from corporate travel partners (B2B) to individual leisure travelers (B2C). As the company continued to grow, the increasing volume of customer information required a professional management system to enhance service quality and support sustainable business growth.

CHALLENGES

Before partnering with WBL, Namia’s team faced several operational bottlenecks:

  • Fragmented Customer Data: Approximately 2,000 customer contacts were managed through business cards and multiple Excel spreadsheets, with no centralized source of truth.

  • No Interaction History: Sales activities, including who contacted whom, when, and what was discussed, could not be tracked, resulting in limited customer personalization.

  • Missed Business Opportunities: Without an automated reminder system, many potential leads and sales opportunities (deals) were overlooked.

  • Time-Consuming Manual Reporting: Consolidating data from multiple sources for weekly and monthly reports required significant time and was prone to errors.

  • Challenges from a Previous CRM Project: The company had previously implemented a CRM system, but the project failed due to a complex user interface, the inability to generate the required reports, and insufficient post-implementation support from the implementation partner.
SOLUTION

Understanding Namia’s business challenges, WBL Consulting Group designed a tailored solution by combining Zoho CRM Professional with complementary Zoho applications to create a seamless data ecosystem.

  • Centralized Customer Database: Successfully migrated more than 2,000 customer contacts from Excel into Zoho CRM and categorized them by region (North/Central/South), lead source, and customer type (B2B/B2C).

  • Sales Process Automation: Configured five intelligent workflows to automatically assign leads by market, generate follow up reminders, and instantly notify users of contract status changes.

  • Enhanced Omnichannel Engagement: Integrated Zoho Campaigns for personalized email marketing (monthly newsletters and promotions), deployed Zoho SalesIQ with a 24/7 website chatbot, and managed all social media channels through Zoho Social.

  • Management Reports & Dashboards: Developed five executive reports and two real time dashboards to provide up to date business insights for the Sales Director and Executive Management.

  • Training & Go Live Support: Addressed the shortcomings of the previous CRM implementation by delivering a two day hands on training program for each user group, supported by detailed documentation and continuous assistance after the system went live.

Within a short period after deployment, Namia River Retreat achieved significant improvements.

  • 100% Elimination of Excel Based Customer Management: The entire customer database was digitized and securely managed within a centralized CRM platform.

  • Higher Win Rate: By closely tracking the sales pipeline and automating follow up reminders, the B2B deal win rate increased significantly while shortening the sales cycle.

  • Faster and More Accurate Decision Making: 100% of business reports were generated and delivered automatically on a weekly and monthly basis, providing management with a comprehensive view to make timely strategic decisions.
