CURRENT SITUATION

Miss Lan English is a fast growing education brand with a passionate team of 20 employees based in Can Tho. However, its internal operations remained highly fragmented. The company incurred significant recurring costs across multiple disconnected platforms including Google Workspace, servers, hosting, and ChatGPT, yet still lacked a unified management data flow. As a result, leadership struggled to obtain timely insights for effective business decision making.

CHALLENGES
The biggest challenge was that communications and documents were scattered across personal applications such as Zalo and Google Drive, creating a high risk of data loss. The Sales team found it difficult to track the complete student engagement history due to the absence of a centralized CRM, resulting in missed sales opportunities. Critical operational tasks such as approval processes and customer follow up reminders were still handled manually, consuming valuable staff time and increasing the likelihood of human error.
SOLUTION

Rather than simply deploying software, WBL Consulting Group redesigned the company’s entire operational workflow by migrating all 20 employees onto a unified Digital Workplace powered by Lark Suite, including Lark Chat, Calendar, Docs, and Tasks.

A key highlight of WBL’s consulting approach was the development of a customized Mini CRM for the education industry using Lark Base, enabling the company to monitor each student’s lifecycle from initial inquiry to post enrollment support.

The entire management process was automated. The CRM was directly integrated with 12 Pancake user accounts to automatically route incoming conversations and synchronize converted customer data into the central system.

WBL also configured intelligent automation assistants that notify telesales representatives whenever a customer has been inactive for more than three days, while automatically scheduling follow up campaigns after one, two, and three months to encourage repeat enrollments.

RESULTS

Within just 31 days, WBL successfully transformed Miss Lan English into a fully integrated digital operation powered by an intelligent management model.

Information barriers between departments were completely eliminated. Management can now monitor business performance, including conversion rates and processing times, in real time through transparent dashboards.

Most importantly, the company’s data assets are fully protected through a robust role based access control system, ensuring strict permission management from executives to frontline employees. This provides a secure and scalable foundation for future business expansion.
