CURRENT SITUATION

SNV Vietnam is an international development organization operating a wide range of sustainable development programs through an extensive partner network across Vietnam. As the organization expanded, its data and partner management processes became fragmented across multiple platforms. Contact information, collaboration history, and project records were scattered across email, Excel files, and manual documents, making centralized management, data security, and timely decision-making increasingly difficult for leadership.

As one of the world’s leading international development organizations, SNV is committed to advancing sustainable development across emerging economies. In Vietnam, SNV collaborates with hundreds of partner organizations, SMEs, and local communities across three strategic sectors to create long-term positive impact.

As its operations continued to expand, SNV encountered several operational challenges:

  • Fragmented and Vulnerable Data Management: Partner and stakeholder information was scattered across emails, Excel files, and unstructured manual records, making accurate information retrieval difficult and creating significant risks of data loss when employees left the organization.

  • Limited Project Visibility: The organization lacked standardized workflows for project approvals and task assignments, making it difficult to monitor project progress, increasing the risk of delays, and reducing management efficiency.

  • Weak Access Control: Despite having a multi-level organizational structure ranging from the Country Director to Sector Leaders, SNV lacked a robust permission management system, leaving sensitive project information insufficiently protected.

  • Time-Consuming Manual Reporting: Consolidating data from multiple sources required extensive manual effort and was prone to errors, preventing leadership from obtaining a real-time overview of organizational performance.
SOLUTION

To address these challenges, WBL analyzed SNV’s operational requirements and implemented Zoho CRM Professional with a comprehensive solution that included:

  • Structured Data Centralization:Customized CRM modules such as Contacts, Accounts, Deals, and Projects were designed with 155 custom fields to organize partner information in a structured format aligned with SNV’s operational needs.

  • Workflow Automation: Automated workflows were configured to assign new project opportunities to the appropriate sector teams (Energy, Water, etc.). The system also automatically sends welcome emails to new partners and anniversary reminders to help maintain long-term relationships.

  • Professional Mass Communication: Zoho CRM’s Mass Email functionality was deployed to enable SNV to send newsletters, notifications, and appreciation emails while protecting recipient privacy and tracking email engagement in real time.

  • Approval Workflows and Role-Based Security: WBL implemented six automated business processes, including new partner approval and account transfer procedures when employees leave the organization. Role-based access controls (Roles & Profiles) ensure that each department can access only the data relevant to its responsibilities.
RESULTS

The Zoho CRM implementation delivered measurable improvements across SNV’s operations:

  • Greater Efficiency and Productivity: Task assignment time was reduced by 99%, from 24–48 hours to less than 5 minutes through automation. Contact information retrieval time also decreased by 95%, requiring less than one minute.

  • Complete Data Protection: The risk of data loss due to employee turnover was eliminated through automated account transfer procedures. Duplicate records were also reduced from 15–20% to 0% through standardized approval workflows.

  • Data-Driven Management: Weekly reporting time was reduced by 92%, from 4–8 hours to just 15 minutes with automated reporting. Leadership now has access to real-time dashboards for monitoring organizational performance and project progress.

  • High User Adoption and Compliance: All employees, from the Country Director to project support teams, were successfully trained to use the system. User adoption exceeded 95% within the first two weeks after deployment.
